Location : New York City (Hybrid: Tuesdays - Thursdays in office)

Job Summary: We are seeking a Sales Coordinator to support the Key Accounts Team in managing retailer relationships and executing key initiatives. This role involves assisting with retailer programs, marketing activities, sales tracking, and coordinating projects. The ideal candidate will have strong organizational skills, attention to detail, and a passion for skincare, with experience or interest in retailers like Sephora. KEY RESPONSIBILITIES

Sampling & Promotional Coordination

  • Manage and track sample distribution to retailers, ensuring timely delivery for promotions.
  • Coordinate promotional activities, ensuring deadlines are met and retailers receive required assets.
  • Assist in organizing retailer activations, including promotional events, discounts, and special offers.

Data Management & Reporting

  • Maintain and update internal trackers for stock, orders, and promotional activities.
  • Ensure accurate and timely data entry for sales tracking, inventory management, and promotional performance.
  • Compile data and generate reports to support internal analysis and retailer performance reviews.

Order & Inventory Tracking 

  • Monitor and update order trackers, identifying stock trends and out-of-stock (OOS) issues.
  • Provide monthly reports assessing stock levels' impact on sales and activations.
  • Track purchase orders (POs) vs. invoices, ensuring timely follow-ups on outstanding orders.

New Line Forms (NLFs) & Product Setup

  • Complete and review NLFs for new product developments (NPD), ensuring accuracy.
  • Ensure timely updates of retailer catalogs, imagery, and seasonal order forms.
  • Prepare NLFs for gifts-with-purchase (GWPs), samples, and testers per retailer requirements.
  • Manage retailer portals, ensuring data is uploaded and submitted correctly and on time.

Visual Merchandising (VM) & Store Coordination

  • Track and manage VM projects, ensuring timelines and deliverables are met.
  • Maintain a global database of VM assets, store locations, and customized planograms.
  • Oversee a VM tracker to monitor updates and resolve issues across regions.

Administrative & General Sales Support

  • Provide administrative support for sales functions, including consolidating reports.
  • Conduct market trend analysis and manage product imagery uploads to retailer platforms.
  • Research and identify new business opportunities.

QUALIFICATIONS

Experience & Education

  • 1–3 years of experience in sales, marketing, retail operations, or administrative roles, preferably in beauty or skincare and working with a large beauty retailer.
  • Bachelor's degree (BA/BS) or equivalent work experience.

Technical & Analytical Skills

  • Proficiency in data entry, analysis, and tracking systems (Excel/Google Sheets).
  • Very strong attention to detail and accuracy in data handling.
  • Ability to manage timelines and track performance metrics effectively.

Communication & Collaboration

  • Strong verbal and written communication skills for internal teams and external retailer interactions.
  • Experience coordinating promotions, sales support, or retail operations is preferred.
  • Ability to work both independently and collaboratively in a fast-paced environment.

Industry Knowledge & Mindset

  • Familiarity with the beauty retail industry; Sephora experience is a plus.
  • Proactive, self-motivated, and eager to contribute ideas for process improvement.
  • Passion for skincare and a hands-on, can-do attitude in a dynamic startup setting.

In accordance with the applicable law, the following represents a good faith estimate of the minimum and maximum compensation range for this position:

The estimated compensation range for this role is $50,000 - $62,500

  • There may be future opportunities for continued pay progression based on continued strong performance in the role.
  • Full-time positions are also eligible for a competitive compensation and benefits package that include medical health insurance, 401K, Paid Time Off, Life Insurance and Long Term Disability leave, and a range of other benefits.
