Position Summary

We are seeking a highly organized and proactive Executive Administrative Assistant to support our Minneapolis office. The ideal candidate will be a detail-oriented professional who can handle a wide range of administrative tasks and work independently with little supervision.

Job Responsibilities

The Executive Administrative Assistant will be responsible for the following:
Administrative Support to Executive Office (80%)
  • Manage and maintain calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Coordinate and facilitate communication.
  • Handle confidential information with discretion and maintain a high level of confidentiality.
  • Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Assist in the preparation of materials for meetings, presentations, and reports.
  • Ensure individuals are well-prepared for meetings and events.
  • Arrange complex and detailed travel plans, itineraries, and agendas.
  • Compile documents for travel-related meetings and ensure timely submission of expense reports.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail.
  • Conduct research and compile data for special projects and reports as needed.
Office Administration (20%)
  • Perform general office duties, such as ordering supplies, managing office equipment, and maintaining office organization.
  • Manage building-related support tasks for Mesabi's office suite, such has handling maintenance requests, security access, and deliveries.
Skills and Qualifications
  • Proven experience as an Executive Assistant or similar role, preferably in a corporate environment.
  • A candidate with a background in law would be preferred.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to multitask and prioritize tasks effectively.
  • High level of discretion and professionalism in handling confidential information.
  • Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
  • Strong problem-solving skills and the ability to think proactively.
  • Detail-oriented with a commitment to accuracy and quality.
  • Ability to work independently and as part of a team.
  • Flexibility and adaptability in a fast-paced environment.
Education
  • 4 years degree / Bachelor’s degree in Business Administration, Management, or a related field preferred.

Salary Range :

  • $63,000 - $73,000 annually, depending on experience and qualifications.
