We are seeking a friendly, adaptable customer-service-focused social worker or human service professional to provide client services and office coordination for 35 hours/week. This is a critical position supporting priority programs and office operations. AgeWell Middle Tennessee is located in Nashville, TN on the campus of Second Presbyterian Church, nestled in between Lipscomb and Belmont Universities.

THE ROLE

The Client Services & Front Office Coordinator will assist with all incoming calls including Helpline information and referral calls, and will provide intake support for priority programs including RESET (financial empowerment) and Eldercare Coach, sharing AgeWell’s print and online resources with clients. This position will also greet and coordinate visitors, volunteers, and vendors at our office, assist with events and mailings, send donor acknowledgment letters, and perform other duties to support the AgeWell team.

This is a 35-hour-a-week position reporting directly to the Executive Director with office hours from 9:00-4:00. Paid vacation, sick leave, and benefits are provided, and schedule flexibility may be offered as needed.

The ideal candidate will enjoy helping older adults and their families, have social work or human service skills and experience, enjoy answering calls, assessing needs, and providing assistance, is highly organized, tech-savvy, and collaborative, and wants to join a dedicated, mission-focused team.

Key competencies include strong skills in the following areas: client/human services and communication, information/referral assistance and determining client needs, eligibility screenings, client intake and scheduling/referrals, office administration, organization and attention to detail, work management and prioritization, critical thinking skills and experience with computers and office technology.

Job Responsibilities

The Client Services & Front Office Coordinator answers incoming calls and welcomes visits from older adults, family caregivers, and professionals, determining needs and providing information and/or referrals to AgeWell programs or other community resources.

The primary responsibilities include Client services & program support:

  • Help inform older adults and family caregivers about programs, resources, and services available to assist with financial security (RESET), caregiver support (Eldercare Coach), community resources (Directory of Services,) and scam prevention (Scam of the Month), helping with program intake and helping clients access resource guides
  • Conduct telephone and in-person screenings with clients and provide information/referral support, including educating callers about AgeWell programs and other community resources and making appropriate referrals
  • Provide RESET benefit eligibility screenings & facilitate new client referrals through client data entry and service requests entered in Charity Tracker
  • Gather and enter caregiver information and schedule consultations for Eldercare Coach clients
  • Help conduct periodic client outcome surveys to assist program and grant staff with monitoring client satisfaction and outcomes
  • Document client and service information within the appropriate systems (e.g., Salesforce, Charity Tracker)
  • Help AgeWell staff organize materials and supplies for events, and periodically attend community events to support new client referrals and intake
  • Provide AgeWell resources to clients such as the Directory of Services, scam prevention brochures, and caregiving guidebooks
  • Utilize AgeWell’s Directory of Services and stay informed about aging and disability-related resources in order to provide the most appropriate information & referral assistance

Other Office Coordination and administrative support duties include:

  • Help research services and providers for AgeWell’s Directory, fulfill directory requests, and keep track of resource guide inventory
  • Order/Purchase and manage office supplies, water, and snacks
  • Get mail from nearby post office; process donations and payments and coordinate preparation and mailing of timely donor thank you letters
  • Assist AgeWell teammates with event and meeting preparation, set u,p, and clean up (e.g., Board meetings, Sage Awards)
  • Other duties as assigned by the Executive Director and/or senior leadership team

Qualifications

The ideal candidate will have a bachelor’s degree in the social work/human services field or equivalent experience. Must have excellent client service, organization, and verbal and written communication skills and enjoy a variety of job responsibilities. Experience or demonstrated interest in working with older adults is strongly preferred. Bilingual Language Skills a plus.

  • Working knowledge of Microsoft Office (Excel, Word, Powerpoint, etc.) and Google Workspace; Salesforce and/or Charity Tracker experience a plus.
  • Valid Tennessee driver’s license
  • Ability to lift and/or carry up to 20 lbs.
  • Job Type and work hours: 35 hours a week (qualifies as Full time for benefits)
  • Location: AgeWell office (located on the campus of Second Presbyterian Church), 3511 Belmont Blvd., Nashville, TN 37215
  • Monday-Friday; expected office hours are 9:00 am-4:00 pm
  • Remote Work Flexibility:  This is not a remote position.  The selected candidate will be expected to work onsite on core business days. Some work-from-home flexibility is provided, when possible, at the discretion of the Executive Director.
