Required Education & Experience
High school diploma or GED (no degree required).
7+ years of administrative experience (front desk, reception, or office support).
Proven customer service/"white glove" experience (non-negotiable).
Required Technical Skills
Advanced proficiency in MS Office (Word, Excel, PowerPoint).
Experience with multi-line phone systems.
Exceptional organizational skills (e.g., managing visitor logs, equipment tracking).
Preferred Qualifications:
Event planning experience.
Bilingual (Spanish/English).
Familiarity with event management software.
Required Soft Skills
Attention to detail (critical for accuracy in visitor management).
Strong communication (verbal/written) for professional interactions.
Adaptability in a fast-paced, high-traffic environment (up to 8K visitors/year).
Key Responsibilities:
Serve as the first point of contact for facility visitors, providing a professional and welcoming presence
Manage visitor sign-in/sign-out processes and issue equipment as needed
Access and navigate event management systems to provide information or support
Collaborate with 28+ staff members across the facility (no single direct supervisor)
Handle multi-line phone systems and direct inquiries appropriately
Work Environment
Large facility with high visitor volume (potential for busy periods).
Collaborative team setting with diverse stakeholders.
